HVAC Match ("we", "us") is a lead-matching service that connects homeowners and businesses across York Region & the Greater Toronto Area with independent, licensed HVAC contractors. This policy explains what personal information we collect, how we use it, and — importantly — who we share it with. We handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

What we collect

When you submit a quote request, we collect the details you provide:

• Your name, phone number, and email address
• Your city and the service and system type you need
• How soon you need help and any job details you add
• Basic technical data (such as your IP address and general analytics) if analytics is enabled

How we use it

• To match your request with local HVAC contractors
• To share your request with those matched contractors so they can quote your job
• To contact you about your request and improve our service

Who we share it with

This is the core of how we work, so we want to be clear: when you submit a request, we share the information you provide with a limited number of independent, matched HVAC contractors so they can contact you with quotes. Those contractors are separate businesses and use your information under their own privacy practices once you're connected.

We also use a small number of service providers to run the site:

• Email delivery (e.g. Resend) to route your request to us and to matched contractors.
• Hosting (Cloudflare Pages) to serve the site.
• Analytics (e.g. Google Analytics), only if enabled, to understand site usage.

We do not sell your personal information to unrelated third parties for their own marketing.

Your consent (CASL)

By submitting the form and checking the consent box, you agree to be contacted by up to a few matched contractors about your request by phone, text, or email. You can ask any contractor to stop contacting you at any time, and you can contact us to withdraw your request.

Retention, access, and correction

We keep your request only as long as needed to provide the service and meet legal requirements. You can ask us what information we hold, correct it, or request its deletion by emailing leads@example.com.
